Datafields can be used in forms or templates to fill in specific information from within Property Matrix. This allows you to make the templates specific even while sending them out to multiple people. While the fields work similarly in forms and templates, the implementation is slightly different.
Note: While datafields appear as text on the page, there is actually hidden information contained within each field. This means that cutting and pasting the fields, while copying the text, does not copy this information as well. As such, anytime you need a datafield you must insert it manually.
When inserting a data field into a form or email, you’ll be clicking on the Insert Datafield button in the editor.
The menu has different tabs depending on the information you wish to insert. In certain cases, there will only be a dropdown. This is on purpose to limit the information that might get used in that editor. If this is an issue, please contact support for assistance.
If there are tabs, each tab has a dropdown with the information that can be inserted. You can click through each tab and dropdown until you find the field you require.
Once done, click the green Okay button to place the datafield into the document.
Now, keep in mind that while the datafield may take up a lot of space, when the document is created, it will only take up as much space as necessary for the data contained. This means that while the datafield may appear as “[[tenant.citystatezip]],” the version sent out will appear as “New York, NY, 10001.”
