Availability Report

The Availability Report provides a comprehensive summary of unit availability within your properties, categorized by leasing status. This report helps property managers and leasing teams quickly assess vacancies, upcoming move-ins, and leasing activities.

How to Access the Report

Navigate to the Reports page, then expand the Unit/Lease category. Choose Availability Report to generate the report.

Report Parameters

You can customize the report using the following parameters:

  • Date: Select the specific date for which you want the availability data.

  • Building: Select any buildings to include in the report. (By default, no buildings are selected.)

  • Company: Select any companies to filter the report. (By default, no companies are selected.)

  • Vacant Status Based On:

    • Move Out Completed (default): Includes units where the move-out process has been fully completed.

    • Move Out Date: Includes units based on the scheduled move-out date, regardless of completion status.

Report Layout

The report is grouped into four distinct sections for clear visibility into leasing statuses:

  1. Vacant Not Leased: Units currently vacant and not yet leased.

  2. Vacant Leased: Units currently vacant but already leased to new tenants.

  3. Notice to Vacate Not Leased: Units with a pending vacancy notice that have not yet been leased.

  4. Notice to Vacate Leased: Units with a pending vacancy notice that have already been leased.

Report Columns

Each section of the report displays the following columns:

  • Building/Unit: The specific building and unit number.

  • SQFT: Square footage of the unit.

  • Market + Addl.: The market rent plus any additional charges.

  • Curr/Last Lease Rent: Rent from the current or most recent lease.

  • Last Move Out: The date when the last tenant moved out.

  • Next Move In: Scheduled move-in date for the next tenant, if applicable.

  • Days Vacant: Number of days the unit has been vacant.

  • Lease Rent: Rent amount for the new or upcoming lease.

  • Name: Name of the future tenant, if applicable.

Use this report regularly to stay informed about unit availability and leasing progress across your properties.
