The Maintenance History reports provide a comprehensive view of maintenance requests within your units and leases, offering two distinct options tailored to your needs: Maintenance History and Detailed Maintenance History.

1. Maintenance History Report

This report displays a summary of maintenance requests grouped by unit, helping you quickly identify maintenance activities within a specified period.

Parameters:

  • Start Date: Select the starting date for your report.

  • End Date: Select the ending date for your report.

  • Building: By default, includes all buildings. Optionally, select a specific building.

  • Company: By default, includes all companies. Optionally, select a specific company.

  • Category: Choose one or multiple maintenance request categories (Inspection, Electrical, HVAC, General Maintenance, etc.). By default, no categories are selected.

Report Structure:

The report is grouped by unit. Each unit includes rows detailing individual maintenance requests with the following columns:

  • No.: Maintenance request number.

  • Date: The date of the maintenance request.

  • Category: Type of maintenance (e.g., HVAC, Inspection, Electrical).

  • Subject: Brief description of the maintenance request.


2. Detailed Maintenance History Report

This report provides an in-depth look at maintenance requests, allowing additional filtering and sorting options for greater precision.

Parameters:

  • Start Date: Select the starting date for your detailed report.

  • End Date: Select the ending date for your detailed report.

  • Building: By default, includes all buildings. Optionally, select a specific building.

  • Company: By default, includes all companies. Optionally, select a specific company.

  • Category: Choose one or multiple maintenance request categories. By default, all categories are selected.

  • Status: Filter requests by their status (e.g., Completed, Assigned, Scheduled).

  • Sort By: Choose sorting preference, either by Date (default) or Number.

  • Vendor: By default, includes all vendors. Optionally, select a specific vendor.

Report Structure:

The detailed report is grouped by unit, presenting comprehensive details for each maintenance request in these columns:

  • No.: Maintenance request number.

  • Date: The date of the request.

  • Category: Type of maintenance.

  • Subject: Brief description.

  • Message: More detailed information regarding the request.

  • Status: Current status of the request.

  • Tenant: Name of the tenant associated with the unit.

  • Vendor: Vendor handling the request.

  • Created By: Name of the user who created the request.


Accessing the Reports:

You can find both reports under the Reports page in the Unit/Lease category, allowing easy and centralized access to essential maintenance history information.
