How to update your company name and logo across all templates in Property Matrix

Overview

To maintain consistent branding throughout Property Matrix, youโ€™ll need to update your company name and logo in the correct places. Some updates happen automatically when you change your company settings, while others may require manual edits in templates or records.

Step 1: Update Your Company Name and Logo in Main Settings

Most branding changes start with the main settings, where you can update the company name and logo:

Updating Company Name

  1. Navigate to Settings โ†’ Company Information.

  2. Update the Organization field (this is the company name).

Updating Logo

  1. Navigate to Settings โ†’ Company Marketing.

  2. Upload a new file to the Upload Company Logo section

Step 2: Update Templates and Custom Entries Manually

In some areas, your company name and logo may have been manually entered instead of dynamically populated. These require a manual update:

  • Document Templates (Settings > Templates Emails/Texts/Forms)

  • Templates (Settings > Templates)

  • Vendor Records

    • This is if you created a Vendor with the same name as the property management company, to record maintenance fixes done by the property management company

  • Property Marketing Descriptions

    • This is if you put your company and contact information under the marketing description for a property/unit.

Best Practices for Manual Updates:

  • Use dynamic fields wherever possible to reduce manual work in future.

  • Perform a thorough review of all customized content to avoid inconsistencies.

Step 3: Leverage Dynamic Tags for Automatic Updates

Property Matrix supports dynamic tags for company name and logo fields.

  • These tags automatically update wherever they are used when you make changes in Company Information or Company Marketing.

  • Replacing manually inserted text or images with dynamic tags ensures that future rebranding is easier and requires fewer edits.

Step 4: Ensure Proper Logo Scaling in Templates

Logos are automatically scaled in most areas, but some templates (such as statements or emails) may not scale correctly.

If your logo appears too small:

  • Review the template layout.

  • Consider uploading a different version of your logo optimized for smaller spaces.

  • Replace manually inserted logos with the dynamic logo tag to maintain consistency.

Final Check: Verify Your Updates

After making changes, confirm that your branding is applied correctly across all areas, including:

  • Reports and documents

  • Emails and text messages

  • Marketing materials

  • Vendor records

  • Custom templates
