Vendor Bill Markups

A vendor bill markup can recover an expense and charge an additional fee for coordinating the work. Set the markup according to your management agreement.

This demo runs through an example where you charge a property owner a 20% fee for plumbing-related bills.

Create the Charge Structure

  1. Go to Settings > CAM & Expense Recovery and click New Charge Structure.

  2. Under Bill Matching, select All rules must match.

  3. Set Company for charge to Company for the bill's site and Charge to to Company.

  4. Set Item for charge to Management Fee and Site for charge to Site on bill.

  5. Enable Autorun if charges should be generated automatically. Leave it disabled if you want to review and create them manually.

  6. Leave Deduct existing amount unchecked to charge the full amount at one time.

  7. Under Match bills where, set Item = Plumbing. Choose a different item for another type of vendor expense.

  8. Open Charge Allocation. Set the calculation to Bill: Total Amount × 1.20, then click Save.

Multiplying by 1.20 creates a charge for the original bill amount plus 20%. For a $500 plumbing bill, the resulting charge is $600: $500 in expense recovery and $100 in markup.

Create Charges Manually

If Autorun is enabled, you can skip these steps. Otherwise, after creating the vendor bill:

  1. Open Actions and select CAM & Expense Recovery.

  2. Choose a reconciliation date on or after the vendor bill date.

  3. Expand the proposed charge to review the bill amount and calculated charge.

  4. Select the charge using its checkbox and click Create Charges.

To review the result, go to Companies, select the relevant company, and open its transactions. The charge appears there with a description of how it was calculated.
