How to Move Out a Tenant and End a Lease

Step-by-step guide on initiating and completing a tenant move-out, managing security deposits, and finalizing lease terminations.

Starting the Move-Out Process

  1. Navigate to the Properties page.

  2. Select the unit the tenant is moving out from.

  3. Click the Lease tab.

  4. Click Lease Actions.

  5. Select Move Out.

Entering Move-Out Information

After clicking Move Out, enter the following information:

  • Forwarding Address: Where the tenant's security deposit refund should be sent.

  • Notice Date: The date the tenant provided notice.

  • Actual Move-Out Date: The date the tenant physically moves out.

  • Payment Responsibility Date: The last date the tenant is responsible for outstanding charges.

You will also see:

  • Security deposit transactions

  • Upcoming rent invoices

Confirm all details, then click Save.

Once submitted, the lease tab will display a panel showing that the move-out is in progress.

Editing or Canceling Move-Out Information

While the move-out is in progress, you can return to the move-out panel to:

  • Edit the move-out information

  • Cancel the move-out

  • Continue the process by clicking Complete Move Out

Completing the Move-Out Process

After the tenant has physically vacated and inspections are complete:

  1. Go back to the lease tab.

  2. In the move-out panel, click Complete Move Out.

  3. Click OK on the confirmation prompt.

You may see a notification about future rent transactions. If the tenant still has future transactions, such as unpaid rent, you can push those charges to the present. Make sure those invoices are paid or removed before finalizing the move-out.

After resolving those charges:

  1. Save the security deposit application date if prompted.

  2. Click Complete Move Out again.

  3. If prompted, apply available security deposit applications and unapplied payments.

  4. If there are no invoices, or if the credit balance is greater than the invoice amount, you will be prompted to refund the remaining credit.

  5. If you want to immediately post the unit to rental sites, click OK when prompted.

Managing Security Deposits and Refunds

Once the move-out is complete:

  • Any remaining security deposit becomes an available credit that can be applied to outstanding invoices.

  • If the deposit exceeds the outstanding balance, you can issue a refund.

  • If Check Printing is enabled in Settings > Company Information, you can print the refund check directly from the system.

  • You can also print the move-out statement from the completion screen.

The move-out statement serves as a record of how the security deposit was applied or refunded.

Viewing Past Leases

To view past lease information for the unit:

  1. Open the now-vacant unit.

  2. Click Lease Actions.

  3. Select All Leases.

Here you will see all past leases for the unit, including the one you just moved out.

From this area, you can also access additional actions for past leases, including the option to reinstate a lease if a mistake was made or if the tenant decides to renew.
