When a tenant gives you notice that they will be moving out you can begin the move out process by going to the Properties page. Select the appropriate unit and then click on the Lease tab. From the Options Menu on the right, click the Move Out button:
You can enter in a forwarding address for refunding their security deposit. Set a notice date(when they are notified of the move out), the actual move out date, and the payment responsibility date (when the tenant owes any outstanding invoices by). You will also be able to see their security deposit transaction item and future rent invoices on the right. After you have confirmed this information you can hit Submit. The move out is now in process.
The lease tab for that unit now has an icon next to the tenant indicating the move out is in process.
You can also edit a move out by clicking the link in the options menu on the top right
ββInformation for the move out is on this page. To complete the move out (after the tenant has actually moved out and you have done any necessary inspections and created invoices for damage, cleaning, painting, etc) click the Complete Move Out button under the move out info.
You will then get a prompt asking if you are sure. You may then also get a prompt saying that there are still future transactions (rent) and asking if you want to move them to the future. That will move any future transaction to the present as outstanding invoices. If they are not removed or paid the security deposit can be applied to them. The move out process has NOT finished if you moved future transactions. You will need to hit complete move out again (after paying or removing any invoices as necessary). You will be warned if the tenant has an outstanding balance:
Any security deposit will be made an available credit that can be applied to outstanding invoices as well.
If the security deposit amount was greater than any outstanding invoices for the tenant you will be notified to issue a refund:
If you have check printing enabled (under Settings -> Company Information) you can also print out a check to the tenant for the remaining refund of their security deposit.
The move out process is now complete! You can still look at past leases by going to the now vacant unit and selecting All Leases at the bottom.
