Segments are powerful filters you can apply to your units, tenants, and more, or visually represented with colored dots for easy identification.
Locating the Segments Dropdown
The Segments dropdown is always located in the top-left corner of the app. It appears specifically:
On the Properties page.
Under the Tenants, Vendors, or Companies tab on the Accounting page.
Using Segments to Filter Resources
Click the Segments dropdown to display all available segments.
Click on a specific segment to filter resources (units, tenants, companies, etc.) associated with it.
You can select multiple segments simultaneously to filter for resources matching all chosen segments.
Editing Segments
To modify or manage segments:
Click the three-dot menu located on the Segments dropdown.
Then, click Edit Segments or simply Edit (varies based on the current page).
This action opens the Edit Segments menu.
Editing or Deleting an Existing Segment
From the Edit Segments menu:
To edit a segment, click the three-dot menu next to the segment, then select Edit.
To delete a segment, choose Delete instead.
Pre-existing Segments
Your license might already contain some segments. You can freely edit these to fit your requirements.
Setting Segment Rules and Criteria
Segments use Rules and Criteria to define filtering logic. You can set a Segment to require all rules to be true, one rule to be true, or to be a Dynamic Rule. Each Rule within the Segment further defines whether it passes when all of its criteria are true or when just one criterion is true.
The format of each criterion is structured as follows:
Resource, Field, Mode, and then Value.
Example: Unit, Vacancy, Equals, True.
The Field part of the criterion can leverage values from existing Custom Fields, newly created Custom fields, or the listed dynamic data sources provided in the appendix.
The Mode part of the criterion offers a variety of options depending on the type of Field you are comparing.
Example: Vacancy Criterion
An example of a non-custom field criterion is Vacancy under the Unit resource, dynamically determined by active lease status.
Dynamic Rules
Segments using Dynamic Rules:
Select Dynamic Rule and choose a Resource to set the segment as dynamic.
The segment becomes a dropdown within the Segments menu itself.
Selecting this dynamic segment reveals resource-specific options (e.g., Property names).
Choosing an option filters the page resources based on the selected item.
Notifications (Colored Dots)
Enable visual notifications for segments:
Check the Notification checkbox to display a colored dot (matching the segment color) on each relevant unit on the Properties page.
