Using Segments in Property Matrix

Learn how to use Segments to filter units, tenants, and more with custom rules and colored dot indicators.

Using Segments to Filter Resources

  1. Click Segments to open the segments menu.

  2. Select a segment to filter the page by resources associated with that segment.

  3. Select multiple segments to filter for resources that match all selected segments.

Segments may appear on pages such as the Dashboard, Properties, Tenants, Vendors, and Companies.

Editing Segments

  1. Open the Segments menu.

  2. Click the pencil icon to manage segments.

  3. To update an existing segment, choose the edit option.

  4. To remove a segment, choose the delete option.

Your license may already include pre-existing segments. You can edit these to fit your requirements.

Segment Rules and Criteria

Segments use Rules and Criteria to define filtering logic.

A segment can be set to require:

  • All rules to be true

  • One rule to be true

  • A dynamic rule

Each rule can also define whether it passes when all criteria are true or when one criterion is true.

Each criterion follows this format:

Resource, Field, Mode, Value

Examples:

  • Unit, Vacancy, Equals, True

  • Unit, Property, Equals, Office

The Field can use values from existing custom fields, newly created custom fields, or available dynamic data sources.

The Mode changes depending on the type of field you are comparing.

Dynamic Rules

To create a dynamic segment:

  1. Select Dynamic Rule.

  2. Choose the Resource.

Dynamic segments become dropdowns inside the Segments menu. Selecting one of the available options filters the page by that resource, such as a specific property.

Notifications

To show colored dot indicators on the Properties page:

  1. Edit the segment.

  2. Check the Notification checkbox.

  3. Save the segment.

The dot color matches the segment color.

Appendix: Available Criteria Options

Available resources and fields include:

  • Property: Name, Address, Marketing, Amenities

  • Unit: Name, Number, Address, Vacancy, Has future lease, Description, Squarefootage, Bedrooms, Amenities, Property type

  • Company: Company name, Firstname, Lastname, Name, Email, Phone

  • Owner: Firstname, Lastname, Email, Phone, Credits available, Unread messages

  • Tenant: Firstname, Lastname, Email, Phone, Credits available, Unread messages

  • Lease: End date, Start date, Month to month, Moving out, Move out date, Schedule increases

  • Vendor: Company name, Firstname, Lastname, Email, Phone

Available modes include:

Contains, Does not contain, Begins with, Equals, Less than, Greater than, Less than or equal to, Greater than or equal to, Before, After, and Within.
