Leases with Multiple Separate Tenants

Manage multiple tenants on one lease, add/remove tenants individually, handle deposits & refunds easily—ideal for student housing.

View the Primary Tenant

  1. Open the lease.

  2. Click the information icon on the tenant card.

  3. Review the Role field in the Tenant Info window.

The tenant’s role may display as Primary, Resident, Cosignee, or another assigned tenant role.

The rent schedule generates invoices for the primary tenant, but any tenant on the lease can log into their tenant portal and submit payments. These transactions will appear under the primary tenant, while the payment method will show the name of the person who actually submitted the payment.

Add a Tenant to an Existing Lease

  1. Open the lease.

  2. Click Actions in the top right of the page.

  3. Select Add Tenant.

  4. Enter the new tenant’s information.

  5. Save the tenant.

The new tenant is added to the lease as a secondary tenant.

Move Out a Tenant

  1. Open the lease.

  2. Click Actions in the top right of the page.

  3. Select Move Out.

  4. Complete the move-out details.

  5. Save the move-out.

The selected tenant is moved out of the lease.

Add a Security Deposit Charge

  1. Open the tenant record.

  2. Click the Property Name tab.

  3. Click New Invoice.

  4. Select Security Deposit.

  5. Enter the security deposit details and amount.

  6. Click Save.

The security deposit charge is added to the tenant’s transactions.

Refund a Security Deposit

To refund a tenant’s portion of the security deposit when they move out, first create a Security Deposit Application on the primary tenant.

  1. Open the tenant page.

  2. Select the correct tenant.

  3. Click the Transactions tab.

  4. Click New.

  5. Select Security Deposit Application.

  6. Enter the refund details and the amount to refund.

  7. Save the security deposit application.

  8. Find the Security Deposit Application transaction in the Transactions tab.

  9. Click the dropdown menu for the transaction.

  1. Select Refund.

  2. Review the account and deposit details.

  3. Change the Payable To field to the tenant or cosignee receiving the refund.

  4. Click Submit.

The refund is created for the selected tenant or cosignee.

Important Notes

  • A lease can include multiple separate tenants.

  • One tenant is assigned as the primary tenant.

  • Use the tenant information window to confirm each tenant’s role.

  • Security deposit refunds can be made payable to a specific tenant or cosignee.

  • Any tenant on the lease can log into their portal and make payments.
