Each license has the ability to send SMS messages through an assigned phone number that can be seen on the Settings page under "Company Information". The number can be seen under the "Website & Misc" section under the header "Messages Phone Number".
Any phone calls made to this number will be forwarded to the company phone number set under the "Details" section in the same "Company Information" section of the settings page.
We allow a new number to be generated (which would replace the original number) once per month in this same section by clicking on the 3 dot icon on the top right. An area code may be specified and an attempt will be made to generate a number with a matching area code (if there are any available). If there is no area code specified, or there were no numbers available matching the specified area code, then a random US number will be generated. This number is not saved to your license until the 'Save' button is pressed.
SMS messages may be sent to Tenants, Leads, Vendors, and Owners through either the Messages tab (which replaced the Emails tab) or the bulk messaging modal. In either location, click the 'Text Message' button and add recipients to the message just like you would with emails. In cases where multiple recipients are added, a single message will be sent to each individual recipient and they will have no knowledge of who else received the message; there are currently no group messages. Valid phone numbers for SMS are any North American phone numbers that can accept SMS messages.
Since the phone number assigned is set on your license, any number of managers can send SMS messages, but they will all come from the same phone number. On the Messages tab each message sent by a different manager will show the name of the manager that sent that message. Each SMS conversation is tied to the person's phone number (Tenant, Lead, Vendor, Owner) itself, so all manager messages will show up on the same conversation as long as they are sent to the same phone number. The recipient will not see any names tied to the messages though, so it is important to still identify who is sending the message if that is pertinent information.
Incoming text messages will show up in the appropriate conversation on the Messages tab as long as that phone number is one tied to a person in the system. These messages will update in real time and do not require a refresh of the page to see, allowing for ongoing chat sessions if needed. These messages will only show up if sent to the number assigned to your license that can be seen on the Settings > Company Information page.
If a phone number is updated, for instance a Tenant changes their phone number, then any SMS messages with that tenant's new phone number will become their own conversation in the Messages tab. The old conversation will still exist and can be looked at at any time, however sending messages to that number will be disabled on the Messages tab if that number is no longer tied to that Tenant. Conversations can also be deleted by clicking 'Delete Conversation' on the 3 dot icon on the top right of the Messages tab. WARNING - Any conversations that are deleted will delete all SMS messages within that conversation and cannot be recovered.
