Learn how SMS messaging works in Property Matrix: how to find your assigned number, send and receive messages, and manage conversations

Viewing Your Assigned SMS Number

Each Property Matrix license has a dedicated phone number for sending SMS messages.

  1. Go to Settings by clicking on your profile icon on the top right, and selecting Settings.

  2. Select the Company Information panel from the left sidebar

  3. Scroll to the Text Messages section to see your assigned number.


How Calls to This Number Work

If someone calls your assigned SMS number, the call will be automatically forwarded to your company phone number listed under Details in the Company Information section.


Changing Your SMS Number

You may generate a new number once per month:

  1. Go to SettingsCompany Information.

  2. Click the three-dot menu in the top right of the Text Messaging section.

  3. Choose to generate a new number.

  4. (Optional) Enter an area code to attempt generating a number with that code.

    • If unavailable, a random U.S. number will be assigned.

  5. Click Save to apply the new number.


Sending SMS Messages

You can send SMS messages to:

  • Tenants

  • Leads

  • Vendors

  • Owners

Where to send from:

  • Inbox

    • The Inbox can be accessed by clicking on the Inbox icon on the header

  • Bulk messaging modal

    • This modal can be found on the Accounting > Tenants page on the main 3-dot icon

  • Individual tenant's Messages tab

    • This can be found by going to a specific tenant's page, and then selecting the Messages tab

How to send:

  1. Click the Compose button.

  2. Add one or more recipients.

    • Each recipient will receive an individual message.

    • There are currently no group SMS messages.

  3. Compose and send your message.

Valid phone numbers: Any North American number that can receive SMS messages.


How the System Handles Messages

  • All managers send from the same assigned phone number for the license.

  • In the Messages tab, each sent message will display the name of the manager who sent it, but they will come from the same number.

  • Conversations are tied to the recipient’s phone number.

Important: The recipient cannot see which manager sent the message unless you identify yourself in the text.


Receiving SMS Messages

  • Incoming messages appear in the appropriate conversation in the Messages tab.

  • The conversation updates in real time — no refresh needed.

  • Only messages sent to your assigned SMS number will appear.


Handling Number Changes

If a person’s phone number changes:

  • Messages to the new number will create a new conversation.

  • The old conversation will remain viewable but cannot send messages if the number is no longer tied to that person.


Deleting Conversations

To delete a conversation:

  1. In the Messages tab, click the three-dot menu for the conversation.

  2. Select Delete Conversation.

Warning:

  • Deleting a conversation permanently deletes all SMS messages within it.

  • Deleted conversations cannot be recovered.
