How to Add a Custom Field to a Custom Tenant Application

Step-by-step guide to adding custom fields and inserting them into new, duplicated, or default tenant applications.

This guide walks you through the process of creating a custom field for tenant applications in Property Matrix and adding it to a custom tenant application. It also covers how to ensure the custom field displays where you need it.


Step 1: Create a Custom Field

  1. Navigate to Settings > Custom Fields.

  2. Click the New Custom Field button.

  3. In the new form:

    • Field Name: Enter the name for your custom field.

    • Applies To: Set this dropdown to Tenant.

    • Group: Choose where the field should appear:

      • None: Field will appear directly under the tenant/contact Details section.

      • Lead: Field will appear on the Lead tab.

      • Submitted Application: Field will appear with submitted application info.

    • Fill out any additional details as needed.

  4. Click Save to create the custom field.


Step 2: Access and Edit Tenant Applications

  1. Navigate to Settings > Tenant Applications.

  2. You can:

    • Click New Tenant Application to start from scratch.

    • Click Duplicate Tenant Application to start with an existing template (recommended if you want to build on the default application).

    • Edit the Default Tenant Application directly (no need to change profiles afterward since it’s already set).


Step 3: Insert the Custom Field into the Application

  1. From the Tenant Applications list, find your application and click the three-dot menu next to it, then select Edit.

  2. Place your cursor where you want the new field to appear.

  3. Click Insert Form Field.

  4. Adjust the label as needed and remove placeholder text if you wish.

  5. Click Insert Application Field.

  6. Go to the Custom Field tab.

  7. In the dropdown, find and select your newly created custom field.

  8. Important: Selecting a dropdown value resets the cursor position. Make sure to click again where you want the field inserted before clicking OK.

  9. Click OK to insert the field.


Step 4: Save Your Changes

  • Once you’ve added all your fields, click Save or Save & Preview.


Step 5: Assign the Custom Tenant Application to a Profile (If Needed)

If you created a new or duplicated application, assign it to the desired profile:

  1. Go to Settings > Profiles.

  2. For the Default lease profile, click the three-dot menu and select Edit (or edit another profile if you have created one).

  3. Scroll to the Custom tenant application dropdown.

  4. Select the application you created or modified.

  5. Click Save.
