How to Create a Tenant Invoice

A step-by-step guide on how to create, edit, and save new invoices for your tenants.

You can create an invoice for a tenant by navigating from either the Properties or Tenant pages. This guide will walk you through both paths.


Path 1: From the Properties Page

  1. Click Properties from the left navigation menu.

  2. Select the property.

  3. Select the unit that the tenant has a lease for.

  4. Click the Lease tab.

  5. Click Current.

  6. Click New Invoice on the right side of the page.

A new invoice section appears on the lease.


Path 2: From the Tenants Page

  1. Click Tenants from the left navigation menu.

  2. Select the tenant.

  3. Click the lease tab.

  4. Click Current.

  5. Click New Invoice on the right side of the page.

A new invoice section appears on the tenant record.


Fill Out the Invoice Details

After you click New Invoice, enter the invoice details.

  1. Fill out the invoice line item fields:

    Item: Select the reason for the charge, such as Rent, Security Deposit, or Utility.
    Site: Select the site connected to the invoice line item.
    Desc: Enter a description, if needed.
    Company: Select the company connected to the invoice line item.
    Qty: Enter the quantity.
    Amount: Enter the charge amount.

  2. Review the invoice Total.

  3. Click Save.

The invoice is saved to the tenant’s current charges.


Add Another Line Item

You can add another charge to the same invoice. For example, you can bill rent and utilities on the same invoice.

  1. While creating the invoice, click Add Line Item.

  2. Enter the details for the new line item.

  3. Review the updated invoice Total.

  4. Click Save.

You can also click the dropdown arrow on the right side of the invoice and select Add line item.


Add a New Custom Charge Item

If you need to charge for something that is not already in the item list, you can create a new item while creating the invoice. For example, you may need to create a custom item for a carpet cleaning fee, repair charge, or other tenant charge.

  1. While creating the invoice, click the Item dropdown.

  2. Scroll to the bottom of the list.

  3. Select Manage....

  4. In the Manage Items window, click New in the bottom left.

  5. In the New Item window, enter the item Name.

  6. Select the Account for the item.

  7. Check Uses Property Manager’s Book, if applicable.

  8. Click Submit.

  9. Close the Manage Items window.

  10. Select the new item from the Item dropdown on the invoice.


Important Notes

  • Use Add Line Item when multiple charges should appear on the same invoice.

  • The invoice is not created until you click Save.
