Import Tool Labels/Columns Defined

Explanation of buttons, fields, and options available when using the Import Tool in Property Matrix

Getting Started

For general guidance on how to use the Import Tool, see the article: Using the Import Tool.


General Spreadsheet Buttons

These buttons are located on the top right of the spreadsheet and allow you to perform the following actions:

  • Split Columns

    • Works like Excel’s Text to Columns tool.

    • Splits one cell into separate cells (e.g., full name → First Name + Last Name, or one address → Address Line 1 + Address Line 2).

    • This tool can be complex. For assistance, please contact Property Matrix Support.

  • Edit Columns

    • Adds additional columns to your worksheet.

    • Steps:

      1. Click Edit Columns.

      2. Check the box for the column you want to add.

      3. Click the arrow, then Submit.

    • Examples: Add extra phone numbers, emails, or full sections of info like tenants and owners.

  • Save Data

    • Saves your current data.

    • Always save before exiting the Import Data screen.

  • Validate Data

    • Runs basic validation tests to ensure that the import is filled out properly, such as catching missing fields.

  • Test Import

    • Once the data is validated, a test import runs a test of actually running the import to make sure there are no errors during the actual import.

  • Submit Import

    • Submits the import. It is recommended that you Validate and Test the data before using this button.


Each Spreadsheet Page Explained

1. Companies Page

  • Ownership Percentage

    • Must add up to 100%.

    • Add more owners using Edit Columns.

  • Email Type / Phone Type

    • Descriptions displayed under each email/phone number once in the system.

    • The first entry is always Primary by default.

    • You can add labels such as "Cell" or "Work".

    • If left blank, defaults will be: Primary, Phone Number #2, Phone Number #3, etc.


2. Properties Page

  • Website Alias

    • Defaults to (PropertyName).propertymatrix.com.

    • You can edit the PropertyName portion or update it later.

  • Marketing Info

    • Used as the description of the building on your website.

  • Lease Profile / Management Profile / Maintenance Profile

  • Amenities

    • Lists amenities offered by the building.

    • Used for marketing purposes.

    • A pop-up window lets you check off available amenities.

    • To add new amenities, go to Settings (top right).

    • Save before leaving the page.

  • Images

    • Add images for marketing or website display.

    • Only include building-level images (not unit-specific).

    • Click the cell → New → drag and drop files or upload from your computer.

  • Attachments

    • Add supporting documents related to the building.

    • Drag and drop or browse your computer to upload.


3. Units Page

  • Unit Number

    • Required.

    • For single-unit properties (e.g., house, townhouse, studio), use 1. (This will remain hidden in the system.)

  • Description

    • The marketing description of the unit, displayed on your website.

  • Amenities / Images / Attachments

    • Same as Buildings, but specific to each unit.


4. Leases Page

  • Start Date

    • Required. Lease start date.

  • End Date / Month to Month

    • Enter an End Date OR select Month to Month (not both).

    • Month-to-Month is used when there is no end date, or if the lease end date has passed and you want to mark it as ongoing.

  • Billing Day

    • The day rent is charged (commonly the 1st).

  • Due Day

    • The day rent is due before late fees apply (commonly the 5th).

  • Rent Items / Security Deposit Items

    • Enter account names:

      • Rent → "Rent"

      • Parking Fee → "Parking Fee"

      • Pet Fee → "Pet Fee"

      • Security Deposit → "Security Deposit"

      • Pet Deposit → "Pet Deposit"

  • Rent Amount / Security Deposit Amount

    • Enter the dollar amount for rent or security deposits.

  • Online Access

    • Can only be enabled if a valid email address is entered.

    • Grants tenant portal access.


5. Accounts and Balances Page

  • Default Accounts

    • Page comes preloaded with 24 default Property Matrix accounts.

    • You may replace these with your own chart of accounts by copy-pasting.

  • Number

    • Custom account number (none are prefilled).

  • Account Type

    • Choose from a dropdown list of 20 types.

    • Determines which of the 5 categories it belongs to (Asset, Liability, Equity, Income, Expense).

  • Parent Account

    • Required if you have subaccounts.

    • Choose the appropriate parent account for grouping.

  • Link Account To

    • Restrict an account to a specific company if needed.
