Important: Messages are sent individually to each recipient, not as a group message.
How to Access "Send Messages"
You can access the Send Messages feature from several convenient locations within the system:
Accounting Page: Navigate to the Tenants, Vendors, or Companies tab, click the three-dot menu next to Segments, and select Send Messages.
Inbox: Click the Inbox icon in the site's header, then click Compose to start a new message.
Tenant-specific messages: Go to the Accounting page > Tenants tab, select a tenant from the sidebar, click the Messages tab, and then click Compose. This automatically includes the selected tenant as a recipient.
Once you've opened the Send Messages feature, you'll choose your message type.
Choosing Message Type
You'll see a popup prompting you to select either Email or Text Message, depending on your preference.
Sending Emails
After selecting Email, you'll see a screen to configure your message details:
Recipients
Click the + next to Recipients to add contacts.
Select recipient types: Tenant, Vendor, Owner, Lead, Manager, or Other Contact.
Add recipients by checking their names and moving them to the Recipients list using the arrow button.
Remove recipients individually by clicking the X next to their name.
Use Select All or Remove All buttons for efficient recipient management.
Certain recipient types have default filters (e.g.,
[Active Tenant] [Equals] [True]
), but you can customize these with dropdown menus and the Add Filter button.Click the arrow (>) next to the Recipients field to add CC and BCC recipients.
Important note on CC and BCC:
Each main recipient listed in the To field receives a separate individual email.
CC and BCC recipients will receive multiple emails if there are multiple recipients in the To field. For example:
Sending emails To recipient A and recipient B, with CC recipient C, will result in recipient C receiving two separate emails:
One email sent To recipient A, with recipient C CC'd.
Another email sent To recipient B, with recipient C CC'd.
CC and BCC recipients will see all the main recipients (those in the To field).
The main difference between CC and BCC is visibility: All recipients can see who is CC'd, but BCC recipients remain hidden from other recipients.
