Giving Tenants Online Access

Tenant online access allows tenants to log in to the tenant portal. From the tenant portal, tenants can make payments, view billing history, upload documents, submit maintenance requests, and send messages.

You can give tenants online access when adding a new tenant, update online access for an existing tenant, or activate tenants in bulk.

Give Online Access to a New Tenant

You can give a tenant online access while adding the tenant to a lease.

  1. Add the tenant during the lease setup process.

  2. Check Allow Online Access.

  3. Enter the tenant’s email address and phone number, if available.

  4. Review the tenant role.

  5. Click Save.

The tenant is added with online access enabled.

Give Online Access to an Existing Tenant

  1. Click Tenants from the left navigation menu.

  2. Select the tenant you want to update.

  3. Click the Details tab.

  4. Expand the tenant information section.

  5. Check Online Access.

  6. Click Save.

The tenant now has online access enabled.

Confirm Tenant Portal Invite

Tenants who are given online access will receive an automated message inviting them to the portal.

  1. Open the tenant record.

  2. Click the Messages tab.

  3. Select the most recent message thread.

  4. Confirm that the activation message was sent to the tenant.

The message will include the tenant portal activation link.

Resend a Portal Activation Email

You can resend the portal activation email if the tenant did not receive the original message or needs a new activation link.

  1. Open the tenant record.

  2. Click the Details tab.

  3. Expand the tenant information section.

  4. Click the three-dot menu on the right side of the tenant information section.

  5. Select Resend portal activation email.

The tenant receives another portal activation email.

Activate Tenants in Bulk

You can use bulk actions to enable online access for multiple tenants at the same time.

  1. Open your profile or company menu in the bottom left of the page.

  2. Select Settings.

  3. Click Bulk Actions.

  4. Locate Get Entities Online.

  5. Click the edit icon next to Get Entities Online.

  6. In the Enable Online Access for Entities window, select Tenant from the Entity Type dropdown.

  7. Check the box next to each tenant you want to activate.

  8. Click Save.

The selected tenants are enabled for online access.

Preview the Tenant Portal

You can log in as the tenant to confirm what the tenant will see after online access is enabled.

  1. Open the tenant record.

  2. Click Login as Tenant at the bottom of the tenant record.

The tenant portal opens in a window labeled As seen by [Tenant Name].

What Tenants Can Do With Online Access

After online access is enabled, tenants can use the tenant portal to:

  • Make payments.

  • View billing history.

  • Upload, view, and download documents.

  • View signed documents.

  • Submit maintenance requests.

  • Send messages.

Important Notes

Tenants need online access enabled before they can use the tenant portal.

Make sure the tenant’s contact information is correct before enabling or resending online access.
