Giving Tenants Online Access

Easily give tenants online portal access to view bills, maintenance tasks, and documents, streamlining property management.

By giving your tenants online access you will both be able to perform multiple tasks at any given time.

Giving a New Tenant Online Access

As you are creating a new lease, you can check the Allow Online Access option on the first page. Once you save the lease, the new tenant will automatically be sent the portal activation invite.

Giving an Existing Tenant Online Access

In order to get an existing tenant online, they need either a valid email address or phone number and then you need to give them online access. You can do this from the Lease tab on either the Properties or Accounting pages. Then go into the Details tab, and the Tenant's Information tab. From there you will be able to see if they currently have access by seeing if the Online Access check box under the Tenant's Info is marked.

If it isn't, click on the checkbox to check it and then Save on the bottom right. This will then send them the invite message automatically. You can check this by going into Accounting > Tenants and clicking on the appropriate tenant, then the Messages tab.

If you need to resend this invite, you can find this option from the Lease tab, and the Details tab, and then the three dot menu on the right side of the Tenant's Information tab, there is an option there to resend.

Giving Multiple Tenants Online Access at Once

If you want to send portal activation invites to everyone in the system at once, we have a tool on our end that can do that for you, so just ask your support rep and we can send out those emails on your behalf. Or you can do it from the Get Entities Online tool from the Settings > Bulk Actions page.

Make sure Entity Type is set to "Tenant", check off who you want send invites to, and click Save.

After Giving a Tenant Online Access

After giving a tenant online access, the tenant will have to open the invitation in their messages and it will walk them through on creating the account and the logging into the system.

The information displayed will only pertain to the tenants accounts, bills, maintenance, etc. all other information through Property Matrix will remain private. 

Once a tenant has been logged in and their account is created you will notice a Login as Tenant button appear. This is just below the Tenant name on the Properties page, and on the bottom of the screen on the Accounting page.

Clicking on it will give you a preview of what the tenant will view on their screen when they login. Here you will also be able to walk them through some items if they need help.
