Any tenant that has been given online access will be able to perform multiple tasks wherever they are.
To get them started please check out the article Giving Tenants Online Access in order to set up their account.
Once they are logged on and in the system, you will be able to view their account and walk them through what features the system gives them.
Preview the Tenant Portal
You can preview a tenant’s online access account from Property Matrix. This allows you to see what the tenant sees and walk them through the tenant portal.
Click Tenants from the left navigation menu.
Select the tenant whose portal you want to preview.
Click Login as Tenant at the bottom of the tenant record.
The tenant portal opens in a window labeled As seen by [Tenant Name].
If Login as Tenant does not appear, the tenant may not have online access enabled, may not have a valid email address, or may not have created their account yet. Click on the correct lease to open up the home page.
Use the Payments Tab
The tenant portal opens to the Payments tab.
The Payments tab shows the tenant’s current invoice information, including:
The unit.
The invoice date.
The payment status.
The total amount owing.
The option to make a payment.
The option to enable AutoPay.
Tenants can click the dropdown arrow on an invoice to view more invoice details.
Review Invoice Details
Click the dropdown arrow next to the invoice.
Tenants can Enable AutoPay from the Payments tab to set up automatic recurring payments.

Here you can review the Payment Status, Total Received, and Total Owing.
You can also see the Invoice Date and Due Date.
Click View Invoice to open the invoice.
The tenant can use View Invoice to view or download a copy of the invoice for their records.
Make a One-Time Payment
Click Payments in the bottom navigation bar.
Select the invoice the tenant wants to pay.
Click Make a payment.
On the Review & Pay page, review the total payment amount.
Review or select the Payment Method.
Click Pay Now.
The payment is submitted using the selected payment method.
View Billing History
Tenants can view past invoices and payments from Billing History.
Click Account in the bottom navigation bar.
Select Billing History.
Review the list of invoices and invoice payments.
The Billing History page shows previous invoices and payments, including the transaction number, date, and amount.
View Account Details
Tenants can view and manage their account details from the Account menu.
Click Account in the bottom navigation bar.
Select Account.
Click Edit to update the email address, if needed.
Click Change Password to update the tenant portal password.
Change Leases
Tenants with access to more than one lease can switch between leases from the tenant portal.
Click Account in the bottom navigation bar.
Select Change Lease.
On the Choose a Lease page, select the lease you want to view.
The tenant portal updates to show information for the selected lease.
View and Upload Documents
Tenants can view and upload documents from the Documents tab.
Click Documents in the bottom navigation bar.
Here, you can locate existing documents, download or view those documents through the dropdown menu, or upload new documents.
View Signed Documents and Shared Documents
The Documents tab includes multiple sections.
Tenants can use:
Documents to view uploaded documents.
Signed Documents to view signed documents.
Shared with Me to view information shared with the tenant, such as the building access code or statement message.
Submit a Maintenance Request
Tenants can submit maintenance requests from the tenant portal.
Click Maintenance in the bottom navigation bar.
Click New Request.
Enter the Subject.
Enter the request details in the Request field.
Select the Category.
Click Select Attachments to Upload to attach photos or files, if needed.
Click Submit Request.
The request is added to the tenant’s maintenance request list.
View Existing Maintenance Requests
Click Maintenance in the bottom navigation bar.
Review the list of maintenance requests.
Select a request to view its details.
Each maintenance request shows the category, subject, status, request number, and date.
Send a Message
Tenants can send a message from the tenant portal.
Click Messages in the bottom navigation bar.
Click Send a Message.
Enter the tenant’s name.
Enter the tenant’s phone number.
Enter the message.
Click Send.
The message is sent to the owner's email address.
Log Out
Click Account in the bottom navigation bar.
Select Log Out.
The tenant is logged out of the tenant portal.
Important Notes
Documents now includes separate sections for Documents, Signed Documents, and Shared with Me.
Tenants can still view invoice details and open invoices from the Payments tab.
AutoPay setup is not covered in this article. Use the dedicated AutoPay article for recurring payment instructions.
