Before You Begin: Create Your Document
Before you can send a document, you must first create it as a form in Property Matrix. If you have not done this yet, follow How to Create and Upload Documents (Forms).
Method 1: Add Documents When Creating a New Lease
You can attach documents while creating a new lease for a tenant.
Go to the Tenants page.
Open the dropdown menu.
Click New Lease.
In the lease creation window, find the section for documents.
Select the document templates you want to send to the tenant.
Complete the lease creation process.
If a document contains dynamic fields, such as a move-in date or rent amount, you can fill them in during the lease setup. Once the lease is created, the selected documents will be emailed to the tenant for review and signature.
Method 2: Add Documents to an Existing Lease
You can also send documents to tenants who already have an active lease.
Open the tenant’s lease page.
Click Documents.
Click New Document.
Select the document template you want to send.
Fill out any required dynamic fields.
Click Create.
The document will be emailed to the tenant as soon as it is created.
Track Document Status
After sending a document, you can track its status from the Documents section of the tenant’s lease. Documents may show as pending, completed, or another status depending on where they are in the signing process.
Tenant Signing Experience
The tenant receives an email with a secure link. When they open the link, Property Matrix guides them through the document and shows each field they need to initial or sign.
Sign Documents as the Property Manager
If the document also requires your signature, a notification will appear on the bell icon in the navigation bar.
Click the notification.
Open the signing page.
Follow the prompts to complete your required signature fields.
